Look, we get it - nobody really enjoys reading through legal stuff. But here's the thing: we actually care about your privacy at Zephyron Vault. We're not some big corporate chain; we're a shop that works on high-end European vehicles, and that means we take everything seriously, including how we handle your personal info.

This policy lays out what information we gather when you visit our shop or website, what we do with it, and how we keep it safe. We've tried to keep the lawyer-speak to a minimum and just tell you straight up what's going on.

Personal Details

When you book an appointment or bring your ride in, we're gonna need some basics: your name, phone number, email, and address. Pretty standard stuff - we can't exactly call you about your BMW's ready without a phone number, right?

Vehicle Information

We keep records on your vehicle - make, model, year, VIN, mileage, service history with us. This helps us track what's been done and what might need attention down the road. If you've got a 2018 Porsche 911 that's had its transmission serviced twice, we wanna know that.

Payment Info

Credit card details, billing addresses - the usual when you're paying for services. We don't actually store full card numbers on our systems though. That goes through secure payment processors.

Website Activity

If you're browsing our site, we collect some technical stuff - IP address, browser type, pages you visit, how long you stick around. Nothing creepy, just helps us understand how people use the site and where we can improve things.

We're not in the business of selling your data or spamming you with junk. Here's what we actually do with your info:

  • Service your vehicle: Obviously. We need your contact info and vehicle history to do our job properly.
  • Schedule appointments: Reminders, confirmations, letting you know when your car's ready - that sort of thing.
  • Process payments: Can't run a business without getting paid, and you need receipts for your records.
  • Send maintenance reminders: If your Audi's due for an oil change or inspection, we might shoot you an email. You can opt out of these anytime.
  • Improve our services: Looking at trends helps us stock the right parts and improve our turnaround times.
  • Comply with legal stuff: Sometimes the law requires us to keep certain records. It's just part of running a legitimate business in BC.

That's pretty much it. We're not using your email to send you random marketing garbage or selling your info to third parties.

Your data's stored on secure servers here in Canada. We keep it for as long as you're a customer and for a reasonable period after that - mainly for warranty purposes and in case you come back.

If you haven't been in for service in over seven years and we haven't heard from you, we'll typically purge your records unless there's a legal reason to keep them (like warranty claims or legal disputes).

Physical paperwork? We've got locked filing cabinets. Nothing's just lying around the shop where anyone can grab it. When we do dispose of documents, they get shredded properly.

We don't sell your information. Period. But we do work with some third parties to run the business:

  • Payment processors: When you pay by card, that goes through secure payment systems. They handle the transaction, we get confirmation.
  • Parts suppliers: Sometimes we need to share vehicle details with suppliers to get the right parts. They don't get your personal contact info though.
  • Diagnostic software: Some advanced diagnostics connect to manufacturer databases. Your VIN might be shared to pull technical service bulletins or recall info.
  • Email services: We use email platforms to send appointment reminders. They're bound by their own privacy policies too.

If law enforcement shows up with a proper warrant or court order, yeah, we'll comply with that. But we're not just handing over customer data to anyone who asks nicely.

Modern European vehicles are basically computers on wheels. When we plug into your car's system, we're pulling all kinds of data - error codes, performance metrics, driving patterns, system logs. This stuff's crucial for proper diagnostics.

We keep this diagnostic data linked to your service records. It helps us spot patterns and predict issues before they become major problems. For instance, if we see your Audi's been running hot or your Mercedes has had multiple sensor failures, that's valuable info.

This data stays confidential and is only used for servicing your vehicle. We're not sharing it with insurance companies or anyone else unless you specifically ask us to.

Under Canadian privacy law (PIPEDA), you've got rights when it comes to your personal info:

  • Access: You can ask to see what information we've got on file for you. We'll provide it within a reasonable timeframe.
  • Correction: If something's wrong or outdated, let us know and we'll fix it.
  • Deletion: Want us to delete your data? We can do that, unless we're legally required to keep it.
  • Opt-out: Don't want marketing emails or maintenance reminders? Just tell us. You'll still get essential communications about active service though.
  • Portability: Need your service history for another shop? We can provide that in a usable format.

Our services aren't directed at kids under 16. We don't knowingly collect information from minors.

If somehow a kid's info ends up in our system and we become aware of it, we'll delete it. Parents or guardians who think their child's information might be in our records can contact us to have it removed.

We might update this policy from time to time. Maybe laws change, maybe we add new services, maybe we just realize we could explain something better.

When we make changes, we'll update the "Last Updated" date at the top. If it's a major change, we'll make an effort to notify customers - probably via email or a notice on our website.

It's worth checking back here occasionally if you're concerned about privacy stuff. We're not gonna make changes that dramatically alter how we handle your data without letting people know.
